How the meeting notes are structured
The “Meeting Notes” mode is built to pull the business-relevant information out of a conversation. Your output is automatically split into these sections:
- Overview – A concise summary of the context and purpose of the conversation.
- Key points – The most important topics, laid out clearly as bullet points.
- Decisions – A clear list of what was agreed in the meeting, so nothing gets lost.
- Action items – Who does what? Scriptli extracts tasks straight from the conversation.
- Next steps – Strategic follow-ups for further internal work.
Overview
The conversation took place between an IT director and a student as part of a thesis. It covers the collaboration between IT and marketing, existing obstacles and strategic approaches to improving efficiency.
Key points
The company’s IT structure
- Two divisions: IT is split into Business Technology (interface to the business, projects) and the Factory (infrastructure, support).
- Business analysts as a bridge: They are the main point of contact for marketing. 70% of the analysts come from business departments, so they understand processes better and avoid silos.
- Goal: End-to-end data consistency and no isolated stand-alone solutions.
Challenges in the collaboration
- Goals & communication: The lack of shared goals is the biggest obstacle. Marketing works within its own discipline, while IT takes a holistic architecture approach.
- Finance overlooked: In marketing projects (e.g. e-commerce), financial aspects such as tax rates or payment processing are often considered too late.
- Innovation vs. operations: Marketing focuses on speed; IT aspects such as maintenance, interfaces and updates are often underestimated.
Room for improvement
- Shared roadmap: Introduce agile planning to bring all stakeholders on board early.
- Clear ground rules: Define guardrails (e.g. no unilateral system purchases involving personal data).
- Sustainability: Focus on long-term system stability rather than quick ad-hoc fixes.
Rating of the collaboration (scale 1–10)
- Marketing today: 5–6 (room to improve).
- Other departments: 8.
- Target: A stable 8 is seen as realistic and worth aiming for.
Decisions
- Interface role: Focus on business analysts with a business background to optimise processes.
- Governance: A binding roadmap to reduce shadow IT.
- Lead times: A minimum lead time of three months for larger marketing campaigns, to secure IT resources.
Action items
- Clarify roles: Consolidate the process-owner model further and test it in practice.
- Stakeholder management: Make sure the finance department is involved early in all relevant digital projects.
- Guidelines: Draw up clear “ground rules” for system purchases by business departments.
Next steps
- Feed the findings into the research and compare them with further expert interviews.
- Write a summary of the recommendations for IT management.
